What responsibilities will you have in this role?

  • Oversees client reception desk by answering phone calls and responding to client and student inquiries.
  • Provides support to students regarding use of client scheduling system.
  • Oversees student voicemails (i.e., cleans up voice mails at the end of the academic year) and reassigns to new students).
  • Explains, guides and monitors students who are on placement or client services rotation on processes and procedures.
  • Enters new client information into client scheduling system.
  • Processes payments for treatment.
  • Completes insurance claims and forms as necessary.
  • Balances daily deposits.
  • Monitors assignment of clients to student.
  • Monitors inventory of dental clinic forms in reception area.
  • Submits, receives, and processes clients’ referrals, medical consultations and confidential documents to/from third parties; contacting the dental office, faxing or scanning forms.
  • Checks specific client charts in and out of the client scheduling system.
  • Reviews client e-records for accuracy of personal information (e.g., names, addresses, contact numbers) and updating as appropriate.
  • Re-files specific client records.
  • Purges and inactivates client records when required.
  • Other related duties as assigned.

What qualifications do you need for this role?

  • One-year certificate in Dental Office Administration or equivalent.
  • Minimum two years’ experience in a high-volume front-line reception within the health care field; receiving payments.
  • Must demonstrate knowledge of current dental terminology.
  • Knowledge of dental practice management software, records management, and the Personal Health Information Protection Act 2004; understanding of Dental program needs/student requirements an asset.
  • Excellent problem solving, time management and organizational skills; attention to detail.
  • Proven software application skills in Microsoft Office.
  • Exceptional customer service and interpersonal skills.
  • Ability to work under pressure with frequent interruptions while dealing with conflicting demands and distractions.
  • Demonstrated commitment in delivering excellent service to others as this is key in supporting the success of our students and our College.
  • Strong communication, collaboration, teamwork and people skills.
  • Effective ability to interact with others and deal with situations in ways that respect diverse backgrounds, experiences, and styles.
  • Flexibility in adapting to change and in participating in consultative decision-making processes.

Hours of Work: Monday – Friday 10:30am to 6:00pm.

Interview process may consist of a practical skills component.
